Currently available to DCC employees from Monday to Friday with no room hire fees, However, charges will be levied for rooms booked but not used.
Conference Facility *
Located on the ground floor, with disabled access from both the Conference entrance and from the Calvados entrance
The facility includes multi-media system with lectern and drop down screen. Sound can be relayed to other parts of the club (break-out areas) and presentations can also be relayed to other areas of the club via flat screen TV’s located in the Russell Andrews room and Calvados room.
The Watts coffee bar is located within the main conference room and will provide refreshments to delegates accordingly.
Capacity is dependant on layout e.g. Theatre style (up to 160), Cabaret style (40-100)
For conferences the facility can be let as a suite with up to 3 dedicated break-out rooms (Stacey, Creber and Russell Andrews rooms), each adjoining the main conference facility. Further break-out areas are also available within the Calvados room.

Stacey room *
Located on the ground floor, with disabled access from each of the Conference and Stacey & Creber entrances.
Capacity is dependant on layout. As a meeting room this is laid out board room style and seats 12. If used in conjunction with the Conference facility, it could also be used as a reception room, break-out room or for laying out buffet lunches, teas and coffees.
Smaller cabaret style tables are available for this room on request.
Creber room *
Located on the ground floor, with disabled access from the Stacey & Creber entrance.
Capacity is dependant on layout. As a meeting room this is laid out board room style and seats 20+. If used in conjunction with the Conference facility, it could also be used as a break-out room or for laying out buffet lunches, teas and coffees.
Smaller cabaret style tables are available for this room on request.
Russell Andrews room *
Located on the ground floor, with disabled access from the Main entrance, Calvados entrance and from the Conference facility direct.
Capacity is dependant on layout. The room contains a number of smaller tables which can be fitted together to form different sized meeting tables. As a meeting room this is laid out board room style and seats up to 14. If used in conjunction with the Conference facility, it could also be used as a break-out room.
Sound and projection from the Conference facility can be relayed via the multi media system and via flat screen TV located within this room.
Ansell Room (Main Boardroom) *
Located on the first floor, at the top of the main staircase and accessed via the Main entrance. The room has the benefit of a bright sunny aspect, overlooking the main Coaver Lawn. There is no disabled access for this room.
Capacity is currently set at between 14 and 16 in Boardroom style layout, but will be increased to 20 in the very near future.
The room also contains a pull down projection screen.
There is a comfortable waiting room / reception area set aside to service the Ansell room (see Sargent lobby below).
Sargent Lobby *
Located at the top of the main staircase and accessed via the Main entrance. There is no disabled access for this room.
This open plan waiting room / reception area seats up to 7 and is furnished with sofas and armchairs. It may be used to service both the Ansell and Sargent meeting rooms. It may also be used as an ad hoc meeting area (subject to availability).
Sargent room *
Located on the first floor, at the top of the main staircase and accessed via the Main entrance. The room has the benefit of a bright sunny aspect, overlooking the main Coaver Lawn. There is no disabled access for this room.
Capacity is dependant on layout. However, as a meeting room this is laid out in Boardroom style and seats up to 18.
The room also contains a full sized wall marker board.
There is a comfortable waiting room / reception area set aside to service the Sargent room (see Sargent lobby above).
Goodrich room
Located on the first floor, accessed via the main staircase, entrance via the Main entrance. There is no disabled access for this room.
Seats up to 12 people, laid out boardroom style.
As this room doubles as a games room for Club members recreational facilities, it is not available for meetings between the hours of 1200 and 1400, or during the evening / weekends.
Evans room
Located on the first floor, accessed via the main staircase, entrance via the Main entrance. There is no disabled access for this room.
Seats up to 8 people, laid out boardroom style.
Sayers room
Located on the first floor, accessed via the main staircase, entrance via the Main entrance. There is no disabled access for this room.
Seats up to 12 people, laid out boardroom style. The room contains a full sized wall marker board.
McGhay room
Located on the first floor, accessed via the main staircase, entrance via the Main entrance. There is no disabled access for this room.
Seats up to 6 people, laid out boardroom style.
As this room provides the only service access for the first floor kitchen, Coaver staff may (on occasion) need to access the kitchen via this route. If so, staff will endeavour to act with maximum discretion in order to avoid any disruption to the meeting.
Potter room
Located on the first floor, and accessed via the spiral staircase located in the Tong room. The closest access point for this room is by way of the Calvados entrance. There is no disabled access to this room.
Laid out board room style this room seats up to 22 people. The size of this room allows for alternate layouts if required.
Pinney room
Located on the first floor, and accessed via the spiral staircase located in the Tong room. The closest access point for this room is by way of the Calvados entrance. There is no disabled access to this room.
Laid out board room style this room seats up to 12 people.
Other Useful Information
Room Bookings: All rooms marked with * can be booked through the Facility Manager at kelly.browning@devon.gov.uk or by Phone on 01392 38 2519 (office). Click here for a booking form. All other rooms can be booked direct through the DCC internal Outlook Calendar.
Outlook bookings: when you are setting up your meeting in outlook, click on ‘scheduling’, click on the ‘add others’ tab, then ‘add from address book’. In the drop down box in the top right hand corner select ‘All rooms’ and then scroll down until you find the room that best suits your needs. Note: you may need to scroll across and / or drag the ‘business phone’ frame to the right to view the full room name.
Parking facilities: There are no additional parking facilities at County Hall for delegates attending conferences / meetings. Please ensure that all attending are aware of alternate travel arrangements e.g. park & ride services.

Refreshments: These may be ordered at the time of making the room booking. For rooms booked through outlook, please contact the Facility Manager direct (see above). For first floor rooms accessed via the main staircase, there is a Drinks machine and water cooler located on the first floor landing. There is also a water cooler located on the ground floor in the lobby between the Stacey & Creber rooms.
Meeting room equipment: all meeting rooms are provided with wi-fi access, data ports, flipcharts, flipchart paper and pens. Evening / Weekend bookings: In the evenings the meeting rooms can be booked by Coaver Members for £15 a session.
