Exeter Office Strategy Group and Coaver Club Management Committee have undertaken a joint review of facilities with the aim of improving dual-use of the Club and thus to relieve pressure on campus in respect of meeting rooms and in-house needs in respect of conference facilities. The proposed works will also provide significant efficiency savings for the Authority.
As a result of the review a number of works are now planned and due to commence, a summary of which is outlined below;
The old dining hall, Members dining room and Chairman’s dining room to be converted to an in-house conference facility. Works include sanding and sealing the existing floor, installing a new (lowered) ceiling, new lighting system, drop-down screen, projector and sound system with links to existing flat screen TV’s, changes to existing servery, acoustic panelling fitted, new coffee bar / servery specific to the conference facility, refurbishment throughout.
The area from the Green room to the skittle alley (inclusive) will be refurbished to form the new dining area, whilst retaining use of the skittle alley for evening and weekend use. Works include the creation of a separate meeting room (currently the green room) for use outside of club opening hours, carpeting throughout (with removable sections over the alley), remove part of alley wall, new lighting & electrical works, refurbishment throughout. Access to servery direct from the new dining area.
Revised layout for the Café Calvados area to enable access to other parts of the club. This will result in relocation of some facilities to the existing servery.
Both rooms to be converted to dual-use i.e. meeting rooms (by day) and Table Tennis (Evenings and weekends). Works to include creation of a store room for foldable / stackable meeting furniture. New lighting system for both rooms to accommodate dual-use, refurbishment throughout, replacement floor for second room, and other minor improvements to ventilation / access. All members will have access to both table tennis rooms with the exception of League match nights.
All dual-use areas of the Club will be fitted with wi-fi access, data ports and electrical connections.
There will be some disruption whilst building works are completed and this will continue through until the end of February / early March. However, dining facilities will be provided (as at present) throughout this period, with the transition from old to new dining facilities taking place over the weekend of 9th/10th February.
Some minor works are required to improve disabled access at the rear of the Club and in respect of the conferencing facility.
Sports and recreational activities (skittles, table tennis, dance classes, etc.) will suffer some disruption, although this will be kept to a minimum and these activities will resume once building works are completed in each case.
Further works are planned to enhance dual-use of the facility and in order to create further efficiency savings. These will commence once the ground floor works are finalised.
Rooms to be combined to form one large meeting room. The Committee has reviewed use of the snooker table (which is minimal) and given the lack of any league teams the table will be removed and the room given over to meetings and other activities (e.g. aerobic exercise, etc).
Following implementation of non-smoking policies, the office will be moved back to its old location to replace the ‘smokers TV lounge’. The current office will be converted to a meeting room.
With the Club Manager now occupying one of the houses on campus the flat will be converted to four separate meeting rooms (subject to the necessary permissions).
The gym will be expanded into the library to enable more staff to have access to these facilities at lunchtimes, evenings and weekends. Evening / weekend membership scheme to be expanded accordingly.

There will be some disruption whilst building works are completed and this will continue throughout March whilst works are undertaken in the gymnasium and snooker room. The availability of meeting rooms will be unaffected given the creation of additional meeting rooms during Phase 1.
Phase 1 due to commence 7th January with a March completion date. The new dining area will be in use by 11th February at which time work will commence on creating the in-house conference facility.
Phase 2 works are due to commence immediately following completion of Phase 1, although some parts of this will be accelerated where possible to ensure minimal disruption.
Detailed updates will be circulated on a regular basis at entrance ways, notice boards, on Outlook Public notice board ('What's on' page) and on the Coaver Club website. There will also be direct communication with each of the affected sports, leagues and clubs as appropriate.
